Sree Gokulam School Parent App and Faculty App

GJ Global IT Ventures provides the Sree Gokulam School Parent App and Sree Gokulam School Faculty App to support communication and authorized school-related activities between Sree Gokulam School, parents or guardians, teachers and other authorized staff.

This Privacy Policy explains what information may be collected through the Apps, how it is used and protected, and the choices available to users. By using an App, you acknowledge this policy. Where consent or authorization is legally required, it will be obtained through the appropriate process.

1. Information We May Collect

Depending on the features enabled by the school and the App you use, we may process the following categories of information:

• Account and contact information: username, and account or authentication details.
• Student and academic information: Student name, class, division, roll or admission identifier, attendance, timetable, academic updates, and other school records made available through the Parent App.
• Parent or guardian information: Contact details and the relationship or authorization linking an account to a student.
• Faculty and staff information: Name, staff identifier, role, assigned classes or subjects, timetable, and attendance or academic records relevant to authorized duties.
• App and diagnostic information: Device type, operating system and app version, timestamps, error reports, and technical logs used to maintain security and troubleshoot problems.
• Notifications and interaction information: Notification tokens and delivery or interaction data where push notifications are enabled.

We do not intend to collect information unrelated to the Apps' school-related purposes. The exact information processed depends on the features enabled in the deployed version.

2. How We Use Information

Information may be used to:

• authenticate and manage authorized user accounts.
• Show parents or guardians school information relating to students they are authorized to access.
• Support faculty attendance, timetables, academic records and other authorized school duties.
• Send school announcements, reminders and service notifications.
• Maintain, secure, troubleshoot and improve the Apps.
• Meet applicable legal, regulatory and school administration requirements.

3. Online Fee Payments

The Sree Gokulam School Parent App allows parents or guardians to pay school fees through the application. When using this feature, certain information may be processed to facilitate and record fee payments.

This information may include:

• Student name and student identification details.
• Fee details, including fee type, amount due and payment status.
• Transaction reference number and payment date.
• Payment confirmation, receipt and transaction status.
• Information required by the payment service provider to process or verify a transaction.

Online payments may be processed through third-party payment gateways or payment service providers. When a payment is made, the relevant payment information may be shared with the payment provider to complete, verify and record the transaction. Such providers process information in accordance with their applicable terms and privacy policies.

We may use payment-related information to update fee payment records, provide payment confirmations and receipts, reconcile transactions, resolve payment disputes and support school accounting activities.

We do not intend to store complete debit card numbers, credit card numbers, CVV codes, UPI PINs or banking passwords in the Apps. Such sensitive payment credentials should be handled by the relevant payment provider through its authorized payment process. Actual data handling depends on the payment integration used by the Apps.

If a payment fails, remains pending or is processed more than once, parents or guardians may contact the school or the designated support team for assistance. Transaction references may be used to investigate and resolve payment-related issues.

4. Access, Disclosure and Sharing

Access to student, parent and faculty information is intended to be limited to authorized users according to their role and the school's permissions. Parents or guardians should only be able to access student information linked to their authorized account. Faculty access should be limited to information needed for their assigned responsibilities.

We may process or disclose information to the school and to service providers that help operate, secure or support the Apps, such as hosting, notification, or diagnostic service providers, where applicable. Such access should be limited to what is necessary for the relevant service.

We may also disclose information where required by law or to protect the security and rights of users, the school or the service. We do not sell personal information. The school may separately determine how it uses school records in accordance with its policies and applicable law.

5. Children's Privacy

The Parent App may display information about students who are minors. Student information should be provided or made available through the school or another appropriately authorized process. Parents and guardians should use the App only for students for whom they are authorized to access information.

We do not knowingly invite children to create independent accounts where an account is intended to be managed by a parent, guardian or school.

6. Data Security and Retention

We use reasonable technical and organizational safeguards designed to protect information against unauthorized access, loss, misuse or alteration. No method of electronic transmission or storage is completely secure, so absolute security cannot be guaranteed.

Information is retained for as long as reasonably necessary to provide the Apps, support school operations, meet applicable legal or contractual obligations, resolve disputes and maintain security. Retention and deletion of official school records may be subject to the school's requirements and applicable law.

7. Third-Party Services

The Apps may rely on third-party services, such as Google Play Services or push-notification, hosting and diagnostic providers, depending on the features used. Those providers may process technical information as necessary to deliver their services and under their own terms and privacy policies.

8. Permissions and Notifications

The Apps may request device permissions when a feature requires them. You can manage available permissions through your device settings. Disabling a permission or notifications may affect the related feature. The Apps should request only permissions necessary for the features they provide.

The mobile Apps do not intentionally use browser cookies as a core feature. Websites or third-party services accessed through the Apps may use cookies or similar technologies under their own policies, where applicable.

You may contact us to ask about personal information processed through the Apps, request correction of inaccurate account details, or raise a concern about access or deletion.
